Sponsored by the National Network of Libraries of Medicine, New England Region, the NE RDM Roundtables provide opportunities for New England librarians to compare notes, ask questions, share lessons learned, explore new working models, acquire fresh ideas, and develop new partnerships. <\/span><\/p>\n<p><span style=\"font-weight: 400\">The day focused on sharing data: first from the perspective of the researcher, followed by the view from WPI\u2019s academic computing.<\/span><\/p>\n<p>Below are the notes captured by all participants at the event during the roundtable discussion. We hope you can use the questions and insights from others to think about your own work or inspire more questions and investigations!<\/p>\n<p><b><span style=\"text-decoration: underline\">Topic 1: Challenges and successes working with researchers and sharing data<\/span>.<\/b><\/p>\n<ul>\n<li><b>Take a moment to reflect on the first talk &#8211; perspective of a researcher. What are your key take-aways?<\/b><\/li>\n<\/ul>\n<ol>\n<li style=\"list-style-type: none\">\n<ol>\n<li style=\"list-style-type: none\">\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">How many people were involved to make a project work<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">How much data was created by one lab<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Importance of creating a culture for Data Management<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Eagerness to share<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Even champions still need help with data management!<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Importance and benefit of having a champion for data management at your organization<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Importance of cross-training students<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Clear that there was a great deal of time spent thinking about workflows and continuous improvement<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Sometimes it takes a big problem for folks to realize they need help<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Scale of work is changing &#8212; new interdisciplinary layers add to complexity<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Need for repetition in RDM training<\/span><span style=\"font-weight: 400\"><br \/>\n<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<ul>\n<li><b>Do you consider yourself an advocate for data sharing, a facilitator of the process, an educator, something else?<\/b><\/li>\n<\/ul>\n<ol>\n<li style=\"list-style-type: none\">\n<ol>\n<li style=\"list-style-type: none\">\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Trying to get a foot in the door!<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Facilitator &#8212; trying to help others be able to do their work<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Mixed advocate and educator role<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Advocacy needs to be done with care<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Helping folks think about data management proactively<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Helping connect folks to the resources they need &#8211; break down barriers in communication, departments, centers, organizations<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Helping folks get answers &#8212; not scolding into compliance. Librarians as part of the solution, but maybe not the leaders<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Importance of having a champion<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Educating others so that <\/span><i><span style=\"font-weight: 400\">they<\/span><\/i><span style=\"font-weight: 400\"> can become advocates &#8212; in their departments, elsewhere<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Advocating can help you hear the push back\/feedback from others, and can itself be extremely informative<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Justifying librarian involvement can be the hardest part.<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<ul>\n<li><b>Can you talk about some of the challenges you have had communicating with researchers re: sharing data? What about successes?<\/b><\/li>\n<\/ul>\n<ol>\n<li style=\"list-style-type: none\">\n<ol>\n<li style=\"list-style-type: none\">\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Challenges: <\/span>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Scientists not viewing librarians as reputable sources of guidance because librarians \u201care not scientists\u201d<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Discouragement from administration, who may advocate for open but also push for protecting information &#8212; not necessarily balanced<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Scaling resources &#8212; how do we scale up from what is currently provided?<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Language and how we explain topics so all can understand<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Explaining how to use a tool<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Getting information from researchers about their wants and needs<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Tools don\u2019t fix all the problems or make them more organized<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Cultural barricades<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Librarians not very good at sharing their own data &#8212; not good at practicing what we teach. <\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Librarians need to become part of the research ecosystem &#8212; not just an observer<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Researchers don\u2019t know what they don\u2019t know &#8211; hard to know where to begin the conversation<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Metadata &#8212; sharing is not just putting data out there, it needs to be useful. Researchers often don\u2019t realize they need to submit metadata.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Time consuming to figure out solutions to unique problems &#8212; and librarians can\u2019t always provide the unique solutions to each problem<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Can be intimidating if librarians don\u2019t have training in same discipline &#8212; but often researchers just want help<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Perception that no one wants or needs their data. <\/span><\/li>\n<\/ul>\n<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Successes:<\/span>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Motivated PIs<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Grassroots awareness with students to raise PI awareness &#8212; like naming schemes; or &#8212; asking PIs \u201cdo you know what your graduate students are doing?\u201d<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Working with compliance office<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Good PR from other presentations, faculty<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Reminder that many folks are already doing aspects of data management<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Meeting with researcher after DMP is implemented<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Researchers often just want help &#8212; so don\u2019t need to have same background or training as researcher<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<ul>\n<li><b>What are some of the ways that you talk about benefits to sharing data responsibly? How do you address concerns of sharing data or the additional work involved?<\/b><\/li>\n<\/ul>\n<ol>\n<li style=\"list-style-type: none\">\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Important to focus on framing this in a positive way<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Focus on \u201cgood\u201d practices &#8212; may feel more achievable than \u201cbest\u201d practices<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Reinforcing practices related to publishing &#8212; you write papers so others can reproduce your work, you cite papers so others can find it &#8212; similar principles apply to data! <\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Give incentives for data sharing &#8212; increasing in practice, and getting credit is of great importance. Talk about citing data to make that an important point. <\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Finding the failure points<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Using the term gatekeeper &#8212; don\u2019t use overly-restrictive language<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Diving deeper into knee-jerk reactions to sharing data &#8212; many claim funding obligations but might be a deeper discussion<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">\u201cStand on the shoulders of giants\u201d &#8212; you want to be those shoulders<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">\u201cYou never know how useful your data may be\u201d<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Making it personal &#8212; how to be a good scholar, good colleague, reminding researchers of other work they have built off of, and how challenging that might have been. Avoid finger wagging<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<ul>\n<li><b>How do you educate researchers and their staff on sharing data responsibly and best practices\/sharing?<\/b><\/li>\n<\/ul>\n<ol>\n<li style=\"list-style-type: none\">\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Getting into workflows and training that already exist<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Creating workshops for different audiences<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Disguise workshops &#8211; \u201cloving your research data\u201d<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Reach out to graduate students<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Find a PI advocate<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Recognizing subject specific idiosyncrasies<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Get metadata and other specialists involved early &#8212; and know who your resources are<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<p><b><span style=\"text-decoration: underline\">Topic 2: Storing data at our institutions, options for long-term access, and interactions with researchers<\/span>.<\/b><\/p>\n<ul>\n<li><b>What storage practices and related software are you able to recommend to researchers, based on the infrastructure and technical expertise available at your organization?<\/b><\/li>\n<\/ul>\n<ol>\n<li style=\"list-style-type: none\">\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Box, LabArchives, Open Science Framework<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Open source &#8212; avoid things that aren\u2019t backward compatible<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Encourage folks to use local IT solutions<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Sometimes moved to faculty senate decisions<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Sometimes troubles with infrastructure that is dated or unclear<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Troubles with administration<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Larger issues with data security and privacy &#8212; education around these areas<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<ul>\n<li><b>Do you collaborate with other units\/people on campus, such as IRB, research integrity, tech transfer office, IT? What are some of the challenges and opportunities partnering with other units around data sharing and long-term access?<\/b><\/li>\n<\/ul>\n<ol>\n<li style=\"list-style-type: none\">\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Research Office, Compliance Office, IRB, Tech transfer office<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Challenging to make inroads, know who to talk to<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Establishing relationships takes extensive time<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Present solutions, not problems <\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Encouraging faculty and researchers to not keep their hard drive \u2018under their desk\u2019 <\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Communication continues to be a challenge<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Payment &#8212; faculty member viewed any service they didn\u2019t have to pay for as not a service<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">If there is an increase in cost, transparency will be important &#8212; people want to know where their money is going<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Important to have conversations with administration<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<ul>\n<li><b>Do you have a data repository, IR that accepts data, or other long-term storage solution at your campus?<\/b><\/li>\n<\/ul>\n<ol>\n<li style=\"list-style-type: none\">\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">DataVerse, FigShare, bePress, Hydra, DSpace, Fedora<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">In-house is often not the best option &#8212; recommend folks to outside\/other solutions<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Creating a data catalog &#8212; record in IR that points to data wherever it lives. <\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">IR is not a good home for all types of data<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Access repository v preservation repository <\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">No long-term storage option &#8212; passed back and forth between stakeholders<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Some slower uptake for IRs early on<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Challenges of terminology between groups<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<ul>\n<li><b>How do we help researchers make appropriate decisions about third-party data repositories?<\/b><\/li>\n<\/ul>\n<ol>\n<li style=\"list-style-type: none\">\n<ol>\n<li style=\"list-style-type: none\">\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Used to trust government repositories &#8212; now not so sure<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Give researchers a checklist for data repository quality<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">DataVerse as a model of good policies<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Tables\/charts\/other decision-making guides &#8212; on a libguide, elsewhere<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Use publisher suggestions<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Value the discipline-specific knowledge<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Embargo and privacy issues should be considered<\/span><span style=\"font-weight: 400\"><br \/>\n<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<ul>\n<li><b>All projects come to an end.
